This Data Protection Policy explains how Sunshine Learning securely collects, uses, and stores the personal information of our clients and students. It is designed to comply with the UK GDPR and the Data Protection Act 2018 across all our in-person and online operations.

PART 1: COMMON DATA PROTECTION POLICIES (Applies to All Students)

1. Lawful Basis & Confidentiality

  • All personal data provided by clients is treated as strictly confidential and is held securely.
  • Data is collected and used solely for educational administration, safeguarding, processing payments, and communication related to tuition services.

2. Data Sharing

  • We will never sell or provide your personal information to third parties without your explicit consent.
  • Exceptions apply only where disclosure is strictly required by law (e.g., court requests, safeguarding legislation) or necessary for providing our digital services.

3. Your Rights

  • Under current data protection legislation, you have the right to request that we amend or delete any personal information held about you or your child.
  • Requests for data amendment or deletion can be made by sending us an email at info@sunshinelearninguk.com.
  • If you are unhappy with how we have used your data, you have the right to complain to the Information Commissioner's Office (ICO).

PART 2A: IN-CENTRE DATA PROTECTION (Physical Centre Attendance)

1. Physical Records & Authorisations

  • Physical documents containing personal data, such as accident logs, medical disclosures, and paper consent forms (e.g., travelling alone waivers), are stored securely on-site and protected from unauthorised access.
  • Text message approvals for unauthorised persons picking up a child are logged securely by administrative staff and used solely to verify identity at the point of handover.

2. Student Privacy on Site

  • Students are expected to respect the privacy of their peers and must not share or capture personal data (including photos or contact details) of other students while on the premises.

PART 2B: ONLINE DATA PROTECTION (Virtual Classes)

1. Session Recordings & Retention

  • Online sessions may be recorded and stored securely for up to one (1) month.
  • These recordings are strictly for internal use and may be shared solely for student learning, safeguarding, quality assurance, complaint handling, or legal obligations.
  • Recordings are securely deleted after the retention period unless required longer for an ongoing safeguarding or legal matter.

2. Platform Security & Communications

  • All digital communication must take place only through official Sunshine Learning UK channels to ensure data is processed within our secure environment.
  • Students must never share personal contact details (such as phone numbers, email addresses, or social media profiles) with tutors or other students.

3. Unauthorised Capture & Distribution

  • To protect the privacy and data of all participants, parents and students must not record, screenshot, photograph, or share online lesson content or other participants without written permission.

Parent / Guardian Acknowledgement (No Signature Required)

By allowing their child to attend Sunshine Learning UK sessions, parents and guardians acknowledge and accept this Data Protection Policy.
